If your dealership is using a DMS-integrated account your experience on the platform will differ slightly from non-integrated users. This guide will walk you through what to expect and how to take full advantage of DMS integration features.


What Changes with DMS Integration?

With DMS integration enabled, the platform will automatically pull in any service appointments created in your DMS that have “Loaner” selected as the appointment type. These appointments will appear in the platform as reservations, and smart links will be automatically sent to your customers, allowing them to pre-fill any required information for your dealership.

This creates a streamlined, end-to-end process — from scheduling the appointment to assigning a loaner vehicle — reducing manual entry and improving customer experience.


Important Steps to Follow

To ensure everything works smoothly with DMS integration, keep the following in mind:

1. Resume Imported Reservations

When an appointment is pulled into the platform as a reservation, it comes with a DMS ID. This ID is crucial for matching the customer profile in our system with the existing profile in your DMS.

  • Always resume these reservations from the “Today’s Reservations” tile.

  • This ensures that data syncs correctly and allows the system to track and manage the loaner process end-to-end.

2. Automatic RO Pairing

Once the Repair Order (RO) is created in your DMS, the system will attempt to pair it automatically with the corresponding agreement using the DMS ID.

  • This autopairing task runs hourly, so if you don’t see the RO immediately, check back later.

  • If the RO is available at the time of writing the agreement, you can also:

    • Manually enter the RO number.

    • Select it from the dropdown menu.

Note: Most ROs are not created until the customer arrives to pick up the loaner vehicle, which is why the autopairing feature is valuable.


Benefits of RO Tracking and Notifications

Once an RO is successfully paired, the system will monitor its status. When the RO status changes to “Invoiced”, the platform will:

  • Send an automated alert to the customer, notifying them that their vehicle is ready.

  • Prompt them to return the loaner car.

This notification feature has been shown to reduce overall loaner durations by ensuring timely customer communication.
